Protocol & Procedures

1. Seller & Item Registration Rules

  • Eligibility: Anyone may enter items into the silent auction.
  • Physical presence requirement: All physical plants or items must be on-site. Plants must be healthy and pest-free.
  • Item submissions: Sellers must submit photos and complete an entry line on the Master Auction Log at the registration desk before bidding opens.
  • Reserves & increments: Sellers establish the starting bid, reserve price (if applicable), and bid increment for each item.
  • Fee agreement: Sellers agree to a 15% event fee on all completed sales. Buyers pay the grower directly, and sellers must remit the 15% fee to event management at the end of each day. If an item fails to meet its reserve or starting bid, no fee is charged.

2. Display Card Information

Every item’s display card shows:

  • Item # and Seller ID / Booth #
  • Plant/item name & variegation/type
  • Substrate & pot size (e.g., 4” pot in moss/perlite)
  • Rooting status (e.g., fully rooted, lightly rooted, fresh cut)
  • Acclimation environment (e.g., ambient indoor, cabinet/high humidity)
  • Location to claim the physical item after payment

3. Bidding Mechanics & Rules

  • Bidder registration: Bidders must register their name and phone number to receive a Bidder Number before placing bids. Register here.
  • Binding bids: Every line written on a bid sheet constitutes a binding agreement to purchase the item at that price.
  • Increments: Bids must meet or exceed the posted minimum bid increment. Out-of-step bids will be rounded down to the last valid step by auction staff.
  • Dispute resolution: Event management holds final authority over bid validity, legibility, and timing disputes.
